Embracing the Summer Vibe – What is involved with preparations for summer promotional events?
The summer is here, and for us at Envisage HQ, it’s one of our busiest and most exhilarating times of the year.
Clients approach us to provide them with promotional and event staff for a whole host of summer activities such as weddings, music festivals, corporate events, community fairs and sporting promotions.
Here’s a peek behind the scenes at how we’re gearing up to make this summer unforgettable for all our clients.
1. Early Planning
The cornerstone of a successful event season is early and thorough planning. As soon as the first signs of spring appear, our team shifts into high gear. We hold brainstorming sessions, where every member—from event planners to marketing specialists all contributing to our plans for the summer.
2. Marketing and Promotion
Our marketing team plan the summer marketing months in advance to give us the best chance of attracting interest from clients wanting us to provide them with our promotional and event staff. This marketing will be newsletters, social media, e shots and website updates.
3. Talking to our promotional staff
Strong relationships with promotional staff is SO important. We spend a lot of time communicating with our amazing people updating them with the events we have coming up throughout the summer to check their availability and suitability to work on different summer projects with our clients.
4. Meetings with our clients
No two events are the same so its essential we understand what our clients want to achieve at their event. We work through a comprehensive booking with all clients in addition to phone calls, zoom calls, face to face meetings when needed and lots of emails.
5. Event day
On the day of any event, our team is ready to ensure all the staff our clients have hired arrive safely, promptly and well briefed. If there are any unexpected hiccups then we are ready to put this right with little to no impact to our clients.
6. Post-Event Follow-Up
The end of an event is just the beginning of our follow-up process. We gather feedback, analyze what went well, and identify areas for improvement. This post-event review is crucial for us and our clients.
